Do Wedding Entertainers Charge Travel Fees?
If you have received a wedding DJ or entertainer quote that includes a
travel fee, you are probably wondering what it covers and whether it is
standard. Wedding DJ travel costs are common across the industry for DJs,
acoustic artists, saxophone players, violinists and other live musicians.
Here is how travel costs work at Spinning Disc Entertainment, explained
as simply as possible.
Why Does My Wedding DJ or Entertainer Charge for Travel?
Performing at a wedding is not just the hours spent at your venue. For every booking, your entertainer also spends time loading and unloading equipment, driving to and from your venue, and in some cases staying overnight when the distance makes it impractical to drive home after a late finish.
Travel costs money. Fuel, vehicle maintenance, insurance and time are all real expenses. Building those costs into every quote, regardless of distance, would mean charging every couple more, even those with local venues. Quoting travel separately means couples with nearby venues pay less, and those with more remote venues pay a fair amount that reflects the actual cost of getting there.

Is There a Free Travel Zone?
Yes. Every performer in the Spinning Disc roster has a travel-free zone built around their home location, covering approximately one hour of travel. Bookings within that zone have travel costs already included in the standard package price. You will not see a separate travel line on your quote for local venues.
What Does Wedding DJ Travel Cost Beyond That Zone?
For venues beyond the one-hour travel-free zone, we quote a travel fee that covers two things: the distance travelled and the time spent travelling. This applies to all performers in the Spinning Disc roster, including DJs, acoustic artists, saxophone players and violinists.
The distance component covers the return trip from the performer’s location to your venue, at a rate of $1 per km inc. GST. This covers fuel, vehicle wear and ongoing running costs.
The time component covers the performer’s time spent travelling to and from your venue. For drives longer than two hours, we also factor in required rest breaks.
We keep the rate as fair as possible. The goal is simply to make sure our performers are not out of pocket for taking on your booking.

What About Accommodation?
For late-finish weddings at more remote venues, where a performer would be driving home at 2 or 3 in the morning after a long day, we include an accommodation allowance of $200. This applies when the venue is roughly 2.5 hours or more from the performer, or when the reception finishes later than 11pm and the distance makes a safe drive home impractical.
This is not a profit line. It is a straightforward way to make sure our performers can take care of themselves and not be on the road exhausted in the early hours of the morning.
How Will I Know What Wedding Entertainer Travel Fees Apply to My Booking?
All travel costs are quoted upfront before you book. There are no surprises on the invoice. When you enquire, just let us know your venue and we will include the full travel cost in your quote so you have a complete picture from the start.
If you are comparing quotes from different entertainment providers, it is worth checking whether travel is included or quoted separately. A lower base rate with a large travel fee added later can end up costing more than a slightly higher quote with travel already factored in.
